Challenges and Solutions

While in the development process, our team confronted these challenges and provided solutions that were relevant to the project:

Reducing AI Token Costs

The HRMS relied heavily on AI features like resume parsing, job description generation, and chatbot interactions. With growing user adoption, AI usage would generate high operational costs due to token-based pricing from external LLM providers.


Multi-Platform Job Posting and Synchronization

Designing a backend architecture that could sustain rising amounts of employee data, transactions, and real-time interactions, particularly during busy times, was the obstacle.

SOLUTIONS

We reduced token consumption by fine-tuning open-source LLMs for repetitive tasks like resume parsing and JD writing. For frequently asked queries and prompts, we implemented an intelligent caching layer that reused previous completions to cut unnecessary API calls.

Our team also designed an event-driven microservices architecture using Google Cloud Pub/Sub to manage job post creation, updates, and status synchronization across all platforms.

Challenges

Delivering Secure, Instant AI Chat Support (Ask DrHR)

The “Ask DrHR” chatbot needed to understand natural HR-related questions, generate accurate answers in real-time, and maintain data privacy—all while ensuring quick response times even during peak usage.


SOLUTIONS

Ask DrHR was deployed using a serverless architecture backed by Dialogflow and LLM APIs. We anonymized sensitive data before inference and optimized latency with edge-caching. The chatbot scaled independently from the core app to ensure reliability and speed.
